This Privacy Policy provides legal foundations, in which Get Recruited Worldwide will process personal information and personal data provided to us. This personal information can be termed “personal data”. References to “we”, “us”, “our” and “ours” further in this text shall include both Get Recruited Worldwide (referred to as ‘GRW’) as a business venture, as well as any of our official representatives.

We are very much concerned regarding our responsibility pertaining to privacy and protection of the personal data. Therefore, we would only process the information, as contained in this Notice, unless it is conveyed otherwise. To make sure, the data we process and hold is up to date, we request that you convey to us the updates and changes that you make regarding your personal data. We (GRW) help individuals find work and we are also an employer by ourselves. Our prime business activities are, more specifically:

  • Helping/Assisting aspirants in finding employment through our partner employers and recruiting managers, directly or through our reference;

  • Assisting partner employers and hirer clients in introducing or supplying the staff that they require;

  • Hiring staff to work for us and help us provide our recruitment services.

 In this Privacy Policy, further in this text, all of our (for business or individual clients) activities are termed as ‘Recruitment Services’, whereas, the prospective recruiting customers are termed as ‘Clients’, and aspirants now using the services or seeking any role as a job recruiter as a recruiter for GRW are termed as ‘Candidates’.

 SECTION 1: For Candidates

This section relates to those who want to utilize or are utilizing our Recruitment Services or who are seeking a job with us (‘Candidates’):

Information that we may collect about you

The personal information we may collect or receive includes your: name; address; email and other contact details; date of birth, your previous job history (including the jobs acquired through us); educational history; qualifications and skills; Visa, and other work permits or identity information; passport, bank details, national insurance data (if any ) and tax information; relatives including next of kin and your family details; contact details of referees; the information relating to your hobbies, interests, and pastimes;

information provided in third party references and pre-job checks; other sensitive information such as health records (see the section ‘Sensitive Personal Data’ below), your marketing preferences.

We may collect and seek your personal data/information from a range of sources including: (e.g. a (CV), Resume, application, or registration form); a client; other candidates; online job sites; marketing databases; the public domain; social media, at interview; interactions on the phone or any video calls (which may be recorded; notes taken during conversation or meeting; other websites and applications.

If you are a Candidate and we have sought or collected your personal data from any third party such as an online job board, it is our inherent policy to let you know of the source when we first interact with you.

How your personal data is to be processed?

The following are some examples of how your personal information may be processed: gathering and storing your personal information in either manual or electronic files; intimating you of potential job opportunities; evaluating and reviewing your suitability for various job roles; introducing you to current or potential Clients; providing Clients with potential candidate lists including you; hiring you for any such position that helps with us or to our Clients, including any related administration (such as timesheets and expense reports); sending information to third parties with whom we have or intend to have agreements related to our recruitment services; sharing information with statutory or regulatory bodies, as well as our legal or other professional advisers, including insurers; advertising our recruitment services; and keeping a record of all of the foregoing; storing a record of our dealings; establishing quality, training, and compliance according to best practices; backing up information on our computer systems.

Reasons for processing your personal data

1. For entering into a contractual relationship with you

We could sign a contract with you and/or another party in order to deliver our recruitment services. To enter into a contract, we will require specific details, such as your name and address. Both you and we will have responsibilities under this contract, and we will process your data as needed to fulfill those obligations. For instance, a national insurance number and bank information are needed to handle payroll.

We promise to only request information from you that is necessary for our recruitment services and to only use it in ways that are consistent with this Data Privacy Policy. We must notify you in advance in all other circumstances.

2. Compliance with regulatory and statutory obligations

When offering our recruitment services, we are required to abide by a number of legal requirements with respect to the processing of personal data. The Subsidiary Legislation 594.18 Employment Agencies Regulations is one of them and among other things, it obligates us to:

  • Verify your identity

  • To evaluate your suitability for an external job role

  • Storage of records for lengthy periods

There are other legal requirements that we must follow when we hire someone to work for us (whether directly for GRW or for one of our Clients), including payroll, tax, social security, and other laws or regulations. Additionally, we must abide by statutory and regulatory requirements pertaining to business in general, including tax laws, laws against bribery, fraud, and other crimes, data protection laws, and requirements to cooperate with regulatory bodies like the Department for Industrial and Employment Relations.

3. Provisions pertaining to our legitimate interests

We shall handle some personal data as part of offering our recruitment services in order to further our legitimate interests, which include:

  • Storing records of our dealings and transactions, and where
    applicable, and utilizing such records for the purposes of:

    ○ ascertaining the fulfillment of contractual obligations with customers or suppliers

In order to retain our commercial viability and pursue these legitimate interests, we may continue to process your personal data for as long as we consider necessary for the purpose we need to fulfill.

4. Your Consent for the processing of personal data

If you have given us permission to use your personal information for a particular purpose, we may handle your data on that basis. For instance, if you apply for a particular position, you might need to give us permission to process your data in order for us to move forward with your application and determine if you are a good fit for that position. In other situations, you might need to express your approval in writing or orally before your data is used for a particular purpose.

You have the right to revoke your permission at any time for us to handle your personal information for a specific purpose. Please take notice that in circumstances where we have a legitimate interest or a legal or contractual responsibility to do so, we may continue to store or otherwise use your personal information beyond this. We do research on individuals as part of our business activities in order to identify qualified Candidates and fill open positions. This can entail getting personal information from web resources. For instance, job boards, social networking sites like LinkedIn, and other web resources may provide us with information. Some of this data may be freely accessible, while some may originate from websites or service providers that we subscribe to. From time to time, we could also get personal data about you from recruiting companies, associates, previous employers, or other people or organizations that you've worked with in the past.

When data from outside sources is no longer useful to us or you let us know that you no longer want our services, we will delete the information. To prevent process repetition, we could keep only a small portion of the record. Any processing will follow this Privacy Policy if we believe that certain information may be useful to us in order to fulfill the provision of our recruitment services. Sensitive Personal Data (SPD)

Information that is very personal to you and is typically unrelated to our evaluation of your fitness for a job post is referred to as sensitive personal data. Information that indicates your sexual orientation, color or ethnicity, political, religious, or philosophical opinions, as well as information about your health, are all examples of SPD. Regardless of your interactions with us, we kindly ask that you refrain from sending us any sensitive personal information unless it is absolutely required. However, if you do choose to provide us with any sensitive personal information, such as information from a chat, we will only use that information to further our business relationship with you or to perform our recruitment services. One or more of the following situations can result in this:

If you are an individual working for a third party that we do business with, then this section applies to you, for example as a client or as a payroll company:


Details you provide to us or that we gather

In the course of our interactions, we may gather personal information about you, such as: your contact information (such as your full name, job title, contact phone number, email, etc.); your statements and opinions about potential hires and/or other employees (for example, a reference); details about our interactions with you or the party you work for, such as minutes from meetings or conversations; and your marketing preferences.


We may obtain your personal information from a variety of sources, such as: you, in cases where you have provided us with contact information or other details necessary to use our recruitment services; staff or other representatives of the organization you represent; candidates; marketing databases; social media; the public domain; conversations with you or others over the phone or during video conferencing (which may be recorded); or in meetings; notes made after a conversation.

How we use/employ your personal data/information

As part of our recruiting services and in the course of our interactions with the third party you work for, we will process your personal information. Sending information to third parties with whom we have or plan to enter into agreements relating to our Recruitment Services; taking steps necessary to fulfill a duty stipulated in a contract between ourselves and the third party you work for; compiling market- or industry- specific information for our Clients' needs; providing information; and collecting and storing your personal data in manual or electronic files, among other things; keeping a record of our interactions with you and the company you represent, as well as establishing quality, training, and compliance with our commitments and industry standards.

Reasons for Processing your personal data by us

1. Compliance with legal requirements (regulatory and statutory
obligations)

When offering our recruitment services, we are required to abide by a number of legal requirements with respect to the processing of personal data. Transfer of data to any other state jurisdiction

We may transfer data outside of the EEA in the course of providing our Recruitment Services to nations or international organizations. For instance, this may apply to clients, candidates, or outside parties who help us out in some way. This data transfer may go to a nation for which the EU Commission has made an adequacy determination. If this isn't the case, we have a policy of identifying risks and putting in place the necessary measures, as far as is practically practical and possible.

If you don't want to provide us with important data
